Executive Assistant – Position Available

Clearflo is seeking a highly motivated experienced individual to act as Executive Assistant to the founder (myself Kevin) and the wider team of the company. You will work along side closely with me in a highly active and focused environment.
The Position
I truly am looking for someone that motivates themselves and comes to the table with ingenuity and forethought, and planning. I'm looking for someone that will come to the field with me, and work alongside myself, and the rest of the team. We take the provision of clean water seriously, and we need those that possess the strong desire to participate not only in the ‘idea of the good we do’ but be in a hurry to meet the very proud indigenous people that we serve and participate. I'm looking for someone that will realize how busy I am, put down the pen, close the laptop, and put on their work shoes (on occasion), and lend a hand to help us catch up and meet deadlines in our production facility. The need to get your ‘hands dirty’ will be readily recognized if you are committed and watching me closely, and will offer without being asked. The work is clean, and very exciting. It takes place in our state of the art, impeccably clean production facility. It really is a dream lab of sorts and a place to collaborate, consider new ways, and create this magnificent magic, machines.
I’m looking for someone to be my colleague and respected associate, that I can trust in managing, and coordinating aspects of my professional life. Someone that walks their talk.
I'm looking for someone they can come up with innovative ideas on their own that will help shed the workload from myself. Someone that can present to me, formidable plans, and strategies that you have come up with on your own by watching as we grow what's required to help me focus more on what I need to be focusing on. I need someone that sees the problems, creates a plan, and comes to me with it! You will have lots of time to do so, as the days will be full on some, yet empty on others. The more you shed weight from my shoulders, the more I can advance the company. The more I am able to do this, the more your wage increases. You will be able to work remotely to a degree. You will be part of our growing team that is headquartered in both Canada and The Republic of Panamá. This position is a full-time role, based in the magnificent Comox Valley, Vancouver Island, British Columbia, Canada. The wild west coast of Canada is where the Clearflo story all began and continues today.
In this role you will provide support of myself and the management of the company. You will provide administrative and organizational support primarily to me, and at times, the rest of the team. You will be a highly organized, passionate, and self-motivated person that enjoys a positive team environment and being part of making a difference. Providing access to safe, clean water to Indigenous communities.

The role is fulfilling as you’re playing a role in every aspect from administrative to organizational to physically helping put systems together that bring life’s basic right ‘clean water to many. It is what grows our hearts and shapes our minds at Clearflo. It fuels us!
While there will be a learning curve of course, I will not always be present in person with you all the time. If you’re the right person, you won’t need me hold your hand all the time.
This is a stressful role (at times), where you will share the pressure that we feel as executives and will be working long hours in a sometimes- unpredictable environment, the deployment of clean drinking water systems in the furthest corners of this earth. There will be some long days, late hours, and very early mornings on occasion. Together we will navigate the ebbs and flows of business, seizing opportunities and mitigating risks as we strive to grow the company. I am looking for someone who, when I’m inundated, is able to stay calm and focused just as I have learned to do. Basically, you are going to be there to maximize executives’ time through highly effective agenda and collateral management, and gatekeeping against any wastes of time.
It’s going to be an exciting journey and you will be at our side along the way, growing as we do.
You will work along-side me and with senior staff to provide one-to-one support. You will provide administrative assistance directly for me and the wider team at times. You will be efficient, discrete, flexible, self-motivated, highly organized, proactive and an excellent communicator. You are calm under pressure and capable of thinking on your feet in a crisis. You will be required to always accommodate special projects and deal with shifting priorities. This is a global company with a broad reach and multi-faceted in its initiatives. Moreover, you will adore the idea of helping others that cannot help themselves. From time to time, you will be required to travel with me, both nationally and internationally. You may be required to travel on your own at times. A portion of your day-to-day workload can be done outside of the Clearflo facility.

As my Executive Assistant, your roles and responsibilities will be:
- Extremely proficient in creating and or amending/editing, documents in, but not limited to-Microsoft Word™, Excel™, PowerPoint™ and Outlook™.
- Managing a calendar and notifications
- Managing at least 2 email accounts and responding to, drafting and instigating emails to various parties.
- Interact and engage with high level government, ministries, and agencies as well as local community-based agencies as a representative of Clearflo.
- Managing and liaise with web master(s) to update, keep current, our website content and press release materials.
- The ideal candidate will have experience in graphic programs such as Corel Draw™ or Adobe™ and facilitate design and publishing of various media collateral, although this is not a requirement, it would be really cool if you did.
- Organizing travel, accommodations, transfers both nationally and globally.
- Booking appointments and manage my schedule.
- Act as front line to media referrals and requests. Reach out to various media on behalf of Clearflo and seek opportunities for coverage in Print, Digital and TV media when we are actively campaigning.
- Create video conferences as required, generate agenda(s), and conduct accordingly (at times in the absence of me). This includes the arranging of, conference calls, in person meets and media outlets.
- Attend business meetings and conferences, locally and abroad, providing support in all aspects of business. I will be there for some however your role as my right-hand person, is to represent me in my absence just as the others we work alongside have assigned their assistants to carry out.
- Taking notes and writing minutes during meetings.
- Conducting or preparing any research that myself or reporting manager may require.
- Develop manuals, and technical writing projects.
- Receive and request, various documents and respond accordingly.
- Drafting of letters and completing of forms; internationally and nationally.
- Manage cell calls and text and communication apps, nationally and internationally.
- Various ad hoc request.
- Travelling as required both nationally and internationally. At times, on your own, representing Clearflo.

- Perform tasks with the production team to support production operations.
- Provide general clean up and ongoing monitoring and maintenance of work area.
- Ensure that work is completed during regular hours.
- Demonstrate ability to manage equipment, and labour in order to foresee work planning needs and requirements.
- Engage and participate in Clearflo Solutions Inc.’s safety policies and procedures.
Requirements:
- This position is only open to Indigenous Peoples and preferably youth.
- Transportation to and from facility
- Good communication skills and a safety-conscious attitude
- Ability to maintain a professional and helpful attitude at all times.
- Equipment operation experience considered an asset.
